Job Role: Executive Assistant & Marketing CoordinatorCompensation range: $1800 - $2500 AUD / MonthlyEngagement type:Independent Contractor AgreementWork Schedule: This role is expected to align with the AU business hours (approx. 8 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. The organization collaborates closely with schools, government, and industry partners to help Territorians develop future-ready digital skills and creative careers.Role Overview: We are seeking a highly organized and proactive Executive Assistant & Marketing Coordinator to support the CEO and the organization's day-to-day operations.This role combines executive support, operational coordination, marketing, and communications responsibilities. The ideal candidate has strong administrative skills, experience in marketing and content creation, and the ability to manage multiple priorities while maintaining clear and proactive communication.The successful candidate will be comfortable working independently in a fast-paced environment and confident using tools such as Google Workspace, Asana, Wix, Canva, social media platforms, and AI-assisted workflows.The Ideal Candidate Will be:A strong marketing designer and planner who takes pride in publishable, on-brand workGenuinely proactive - anticipates needs, raises issues early, and never lets things go quiet - is always communicatingA clear, warm, and reliable communicator, in writing and on callsComfortable as the human checkpoint over an AI setup, with the judgment to catch what AI gets wrongDetail-oriented and dependable in meeting deadlines and commitmentsAble to prioritize effectively and work independently while keeping leadership informedResults-oriented, with a strong sense of ownership and initiative
Key Responsibilities:Executive SupportProvide day-to-day executive support to the CEOSupport inbox, calendar, meeting scheduling, and reminders in coordination with the AI setupDraft and organize emails, communications, and documentationTrack follow-ups and action items from meetings and events to completionProactively communicate progress, roadblocks, and priority changes without waiting to be askedDigital Content, Marketing & Design supportDesign professional, brand-consistent marketing assets in Canva to a publishable standard: social graphics, event promotions, flyers, presentations, and digital collateralOwn the social media content calendar across all platforms: plan it, build a repeatable system for capturing input from the team, and keep it running without needing to be chasedDevelop and execute marketing campaigns for programs, events, and intakes, from concept through to scheduled posts to reporting on metricsWrite clear, engaging marketing copy that matches the organization's voice across Facebook, LinkedIn, Instagram, and newslettersTrack, measure, and report on content performance and campaign outcomes, and use the results to improve the next cycleAssist with website updates and content coordination in WixOperational CoordinationSupport project tracking and operational workflowsMaintain organized documentation, folders, and digital systemsAssist with internal coordination across multiple programs and initiativesHelp ensure operational tasks are completed on scheduleManage competing priorities while maintaining clear communication with stakeholdersSystems & Process SupportMaintain and organise project management systems (Asana) Set up, run, and improve AI-assisted workflows for drafting, summarizing, research, scheduling, and reportingIdentify where AI can remove repetitive work and propose practical improvements to how the organization uses itHelp maintain CRM, data records, and operational databasesSupport process improvement and documentation of workflowsIdentify opportunities to improve efficiency and streamline administrative processesCommunication & Stakeholder ManagementCommunicate professionally and warmly with clients, partners, government stakeholders, parents, community members, and vendors Manage enquiries by email promptly, never letting messages go cold or sit in drafts Coordinate meetings and introductions on the CEO's behalf and represent the organization w
